The next thirty: a program manager explaining why the amber status on Project D should actually be green, given the context the slide deck didn’t capture. Another twenty: reconciling two different budget figures for Program F, one from the PMO report, one from Finance’s tracking sheet.
By the time the agenda reaches the item labelled “Portfolio Investment Decisions,” it is forty minutes past the scheduled end time and half the room has a hard stop. The meeting produced four decisions that should have taken thirty minutes. It took four hours to get there. This is not a meeting management problem. It is a data architecture problem.
Why the Time Goes Where It Goes
Portfolio review time is spread across five specific activities, none of which should require meeting time if the data infrastructure is working correctly.

The Five Structural Fixes
The four-hour portfolio review is not solved by a better agenda template. It is solved by five data architecture decisions made outside the meeting room.
