What are Ratings in the Review Summary Information?

Category: Performance

Profit.co's Review Summary Information dashboard consolidates performance ratings from all reviewer types - self, peers, managers, external reviewers, and calibrators - into a single, structured view. Super Users can configure which rating categories appear in the summary to align with their organization's review process.

What are Ratings in the Review Summary Information?

Ratings in the Review Summary Information provide a comprehensive overview of performance feedback aggregated from multiple reviewer types. Each rating category reflects scores collected during the review process and is calculated using averages or weighted formulas, depending on configuration.

The Review Summary Information is accessible under Settings → Performance → Reviews from the left navigation panel, switch to the Review Templates tab. Edit the required review, and switch to the Summary Info tab.

Note: Only Super Users can enable and customize these rating categories.

Why Ratings Matter

Performance ratings consolidate multi-source feedback - from self-assessment through manager and peer evaluations - into a single dashboard, giving employees and HR administrators a clear picture of overall performance without navigating individual assessments.

The ability to configure which rating categories appear, and how they are weighted, allows organizations to align review outcomes with their evaluation methodology. This gives HR full control over what data surfaces in the summary and how much influence each source carries.

Rating Categories at a Glance

The Rating section within Review Summary Information includes the following eight categories:

Rating Category Source of Score Calculation Method
Self's Overall Rating Employee's self-assessment Average of all self-assessment ratings
Peer(s) Overall Rating Peer reviewers Cumulative average of all peer scores
External Overall Rating External reviewers Average of all external reviewer ratings
Matrix Manager Overall Rating Matrix Manager Average of Matrix Manager's assessment ratings
Manager's Overall Rating Direct Manager Average of Manager's assessment ratings (configurable formula)
Secondary Reviewer's Overall Rating Secondary Reviewer Average of Secondary Reviewers' ratings
Final Overall Rating All selected participants Cumulative average or custom weighted formula (up to 5 reviews)
Calibrate Rating Calibration group members (senior management) Re-evaluated scores submitted by calibrators

Understanding Each Rating Type

Self's Overall Rating

Reflects the employee's self-assessment scores. The system calculates the average of all self-ratings submitted and displays it in the Review Summary Information.

Peer(s) Overall Rating

Calculated as the cumulative average of all scores submitted by peer reviewers during the review process. Multiple peer scores are aggregated into a single rating value.

External Overall Rating

Represents aggregated scores provided by external reviewers. This rating introduces an outside perspective into the performance assessment. The average of all external reviewer scores is displayed in the summary.

Matrix Manager Overall Rating

Captures assessment scores submitted by the employee's Matrix Manager. The average of the Matrix Manager's ratings is taken into consideration and displayed in the Review Summary Information.

Manager's Overall Rating

Reflects scores from the employee's direct manager's assessment. The average of the Manager's rating is displayed in the Review Summary Information. Super Users can additionally customize the Label type and configure the formula used, choosing between Manager Overall Rating, Average of Manager Rating, or Average of Manager and Matrix Managers Rating.

Secondary Reviewer's Overall Rating

Captures assessment scores from the employee's secondary reviewer. The average of the Secondary Reviewer's ratings is calculated and displayed in the Review Summary Information.

Final Overall Rating

The Final Overall Rating score is calculated based on the cumulative average of the participant's scores obtained during the review process.

Calibrate Rating

Calibration is the process of re-evaluating performance scores by senior management or designated calibrators. Calibrated members - those in higher management - review and adjust the ratings assigned by managers. The resulting Calibrate Rating is displayed as a separate summary box in the Review Summary Information.

Note: Only Super Users can enable and customize the Review Summary Information.

Final Overall Rating and Custom Formula Configuration

The Final Overall Rating is calculated as the cumulative average of all selected participant scores within the review process. The specific reviewer types included in this calculation are configured in the Summary Info settings of the review template.

Super Users can configure the Final Overall Rating to incorporate historical review data by enabling the Enable Custom Formula toggle. This allows up to 5 past review periods to be factored into the final score.

Available Reviews Configuration
1 review (e.g., current quarter) Define a weight for the current review only.
2 reviews (e.g., current + previous quarter) Assign weights to both periods to control their relative contribution.
Up to 5 reviews (e.g., past 5 quarters) Configure weights for each review period individually, up to five historical cycles.

Note: A maximum of 5 reviews can be selected when using the custom formula configuration.

Overall Rating Weightage Calculation

The Final Overall Rating calculation supports both simple average and configurable weightage models, depending on how the review template is configured.

Configuration Calculation Behavior
No weightage configured The system calculates the Overall Rating as a simple average of all submitted ratings (e.g., Self, Manager, Reviewer contributions are weighted equally).
Weightage configured The system calculates the Overall Rating based on the assigned percentage weights per reviewer type. For example, if Self Rating is set to 20%, the self-assessment contributes only 20% to the final rating, with the remaining weight distributed across other configured sources.

This ensures that the Overall Rating accurately reflects either equal contribution or weighted evaluation, based on the organization's configuration within the review template.

Best Practices for Ratings in Review Summary

  • Enable only the rating categories that align with your review structure - unused rating types add noise to the summary without contributing to evaluation accuracy.
  • When using the Manager's Overall Rating formula, choose between Manager Overall Rating, Average of Manager Rating, or Average of Manager and Matrix Managers Rating based on how many management layers are involved in the review.
  • Use the Enable Custom Formula option for the Final Overall Rating only when historical review data is available and meaningful - applying weights to reviews with missing data can skew results.
  • Configure weightage for the Overall Rating when organizational policy requires specific reviewer types to carry more influence (e.g., manager feedback weighted at 50% vs. self-assessment at 20%).
  • After each review cycle, audit the Summary Info configuration to ensure that enabled rating categories still reflect the active participant types in your current review template.

Frequently Asked Questions

Q1. Can individual rating categories be hidden from the Review Summary Information?

Yes. Each rating category has a toggle in the Summary Info tab of the review template. Super Users can enable or disable individual rating types - such as External Overall Rating or Calibrate Rating - based on which reviewer types are active in the review.

Q2. What happens to the Final Overall Rating if a reviewer type has not submitted their assessment?

Only submitted scores are factored into the cumulative average. If a reviewer type has not completed their assessment, their score is excluded from the Final Overall Rating calculation for that employee.

Q3. Can the label displayed for each rating category be customized?

Yes. For the Manager's Overall Rating, Super Users can customize the Label type directly from the edit panel in the Summary Info settings. Label customization allows organizations to align displayed field names with their internal terminology.
