Profit.co's Tollgate feature acts as a structured checkpoint system that reviews, validates, and approves each stage of a project before it moves forward. Reviewers can now also expand a gate's milestones to inspect task-level progress without leaving Governance.

What is a Tollgate in Project Management?
A Tollgate is a control point within a project where progress is formally reviewed and a decision is made on whether the project can proceed to the next stage. Passing through a tollgate typically requires either approval from designated stakeholders or completion of a checklist confirming all stage deliverables are met.
In the Profit.co PPM module, each tollgate represents a defined stage in the project lifecycle, and its Associated Milestones table shows the milestones tied to that stage. Reviewers can expand a milestone to see its underlying tasks' Stage and Progress inline, without leaving Governance.
Why Tollgates Matter
Tollgates provide structure, transparency, and governance to project execution, enforcing a consistent review and approval process at each stage instead of leaving stage transitions ad hoc.
| Benefit | What Changes |
|---|---|
| Stage-wise visibility | Teams gain visibility into project progress at each defined stage, instead of tracking status only at the project level. |
| Quality and compliance checks | Reviews and sign-offs are completed before advancing, instead of allowing stages to be skipped. |
| Data-driven, standardized decisions | Every project follows the same reviewable checkpoint structure, instead of ad hoc stage transitions. |
| Task-level detail without leaving Governance | Reviewers can expand a gate's milestones to see task Stage and Progress inline, instead of opening a separate task list to understand why a milestone reads a given progress. |

Tollgate Scenarios and Their Outcomes
| Scenario | What Happens |
|---|---|
| You configure multiple approvers for a single tollgate stage. | Profit.co marks the first approver's confirmation as Approved and marks every subsequent approver's confirmation as Auto Approved. |
| You update task progress that changes a linked milestone's completion percentage. | Profit.co can auto-update that milestone's status accordingly, with optional tollgate validation to keep sequencing accurate. |
| You try to click Move to Next Tollgate before completing all checklist items in the current stage. | Profit.co keeps the project on the current stage until every checklist item is complete. |
| You expand a milestone's tasks or open a task's overview from within a gate. | Profit.co shows the task detail without changing the gate's completion or approval status, since this view is visibility only. |
Best Practices for Using Tollgates
- Use Tollgates to maintain consistent review and approval workflows.
- Assign clear approvers for each stage to prevent bottlenecks.
- Configure custom fields for data capture at each stage.
- Regularly review tollgate configurations to align with project governance policies.
- Associate milestones with tollgates for better visibility of project health, then expand a milestone's tasks directly in the gate when you need to understand why its progress reads the way it does.
