How does the automatic propagation of Key Result Status work in Profit.co?

Profit.co provides an option to enable the Automatic KR Status Updates feature, ensuring that Key Result statuses are automatically updated based on actual progress versus planned targets. 

Why this feature?

  • Automatic KR status Updates ensure that key result statuses reflect actual progress, minimizing the chances of discrepancies and manual errors.
  • This feature provides up-to-date tracking of progress, ensuring key results are aligned with planned targets, which helps teams make timely decisions and adjust strategies when needed.

Statuses

Profit.co provides standard OKR statuses by default. Super Users will have the ability to create new statuses and enable or disable existing ones as needed.

To modify or add OKR statuses:

  1. Navigate to Settings → OKRs → Authoring from the left navigation panel.
  2. Switch to the Statuses tab.

Confidence % and Automatic Key Result Status Propagation

The confidence percentage in OKR statuses provides a quick and clear insight into the progression of your key results. During check-ins, users can instantly identify the status of their OKRs through predefined confidence percentages that correspond to different statuses, helping gauge whether a key result is on track, at risk, or in trouble.

Note: Super users can customize these confidence percentages.

As you input your actual progress, the system automatically tracks the differences between your plan and your actual progress. Based on this data, the Key Result (KR) status is updated accordingly, reflecting whether it is "On Track," "At Risk," "In Trouble," or "Completed."

The following outlines how these statuses are determined:

On Track

If your actual progress meets or exceeds your planned progress, the status will be "On Track"(Confidence %: 90% - 99%).

Example: If you plan to reach 60% and you achieve exactly 60%, or if you exceed it by achieving 70%, 80%, or more, the status will be "On Track."

At Risk

If your actual progress is moderately behind your planned progress (but not critically low), the status is set to "At Risk" (Confidence %: 30% - 89%). This indicates you're falling behind and might not meet your targets if corrective action is not taken.

Example: If you plan to reach 80% and achieve only 70%, the status will be “At Risk.”


In Trouble

If your actual progress is significantly below your planned progress or critically low, the status is set to "In Trouble" (Confidence %: 1% - 29%). This indicates you are falling far behind and may need immediate attention.

Example: If you plan to reach 80% but achieve only 20%, the status will be “In Trouble.

Completed

If your actual progress reaches or exceeds 100% of your final goal, the status is set to "Completed" (Confidence %: 100%). This indicates that you have achieved or surpassed your overall target.

Example: If you plan to reach 100% and you achieve 110%, the status will be “Completed.”

Note: Each example shows how the status is determined according to the plan and actual progress for the present week.

Calculation:

The statuses for different Key Result (KR) types are based on confidence percentages calculated through specific formulas tailored to each KR type. This ensures that status updates are accurate and relevant.
